The Uniform and School Supply Management module in FTS School enables schools to comprehensively manage the entire process—from declaration, registration, distribution, and exchange of standard uniform/supply packages to retail sales of individual items by type, code, size, and color. The system ensures transparent inventory control (inbound – outbound – stock), minimizes manual errors, and optimizes costs.
1. Detailed Declaration of Uniforms and School Supplies
- Fully declare all types of uniforms: shirts, pants/skirts, PE uniforms, jackets, shoes, hats, scarves, etc.
- Classify clearly by product code, color, size (S, M, L, XL, XXL), and user group (summer, winter, kindergarten, primary school, etc.).
- Set up selling prices, minimum stock levels, and notes.
- Manage school supplies such as notebooks, pens, backpacks, and textbooks.

2. Set Up Standard Uniform and School Supply Packages
- Create standard uniform packages by grade level, school level, or academic year.
- Predefine the list and quantity of each uniform item in the package, for example: Kindergarten Package: 2 short-sleeve shirts, 2 shorts, 1 long-sleeve shirt, 1 jacket.

3. Register Standard Packages and Track Distribution
Parents can register for standard uniform packages via the Online Uniform Management WebApp.
The software automatically generates Uniform Codes linked to Tuition Registration to manage receivables and collect uniform package payments together with tuition fees.

Standard uniform/supply distribution to students:
- When distributing, the system automatically displays the corresponding standard package for each student based on tuition registration data.
- Create delivery notes for each student; distribution can be done multiple times by item within the package.
- Select or adjust size/color during issuance.
- Track the number of items already issued and remaining items per package.
- Select or adjust size/color during issuance.

4. Retail Sales of Uniforms and School Supplies
Online Retail Sales via WebApp
Parents can register to purchase individual uniform items via the Online Uniform Management WebApp.

After registration, the accountant views the order and processes stock-out and sales invoices.

Parents can also check the history and status of their uniform distribution.
On-site Retail Sales at the School’s Shophouse
Sell directly through POS machines with barcode/item code recognition.

The system automatically records revenue, cost of goods sold, and stock updates, and generates reports accordingly.
5. Inventory Management (In/Out/Stock)
- The system manages detailed inventory by:
- Uniform type and group
- Color and size
- Specific uniform warehouse
- Accurately distribute uniforms to each student according to class list, registered package, and size.
- Inventory alerts help schools proactively plan restocking.
6. Comprehensive Reporting and Analytics
- Inventory reports by uniform type, size, and color.
- Distribution reports by class and by student.
- Retail sales and return/exchange reports.
- Other customized reports as needed.
