1. Detailed setup of all fee types and rates – Flexible and accurate
Allows the school to define all types of fees and charges for students:
- Annual fees
- Monthly fees
- Meal fees: detailed by each meal type
- Club fees
Set unit prices for each fee by academic year. The system stores historical changes to the fee schedule over the years to support comparisons.
2. Manage discount and exemption programs
- Configure exemption policies for students by fee type, fixed amount, or percentage.
- Define students eligible for multiple exemption programs (at the same or different levels).
- The system automatically applies the correct policies to each student’s tuition notice—avoiding errors and saving processing time.
- Set up payment discount policies for early payment, full-year payment, or due-date-based payment.
3. Bus route registration
- Manage bus route information.
- Manage bus stops and corresponding transportation fees.
- Register students for specific routes; based on the route and student registration, the system automatically includes the bus fee in the tuition registration.
- Parents can use the *Transport Registration Portal* to register monthly bus routes. When parents register, the data is synchronized with the list of students using the bus, enabling the system to calculate transportation fees and include them in the tuition registration.
4. Tuition registration
- Set up standard tuition packages by education level (Primary, Secondary, High School) or program (Standard, Bilingual, International).
The software supports bulk registration by class or grade, automatically applying information from the standard tuition package and published rates. Users can adjust special tuition packages for individual students if needed.
In the tuition registration screen:
- Annual fees are recorded in the “Beginning of Year” column.
- Monthly fees are evenly distributed by month.
For students with exemption policies, the software automatically calculates the corresponding discount amount per fee code and per month based on declared data.
5. Generate and send tuition notifications to parents
Automatically generate tuition notifications using each school’s customized template (annual or monthly). Each notice includes:
- Detailed fee items, exemption amounts, and payable amounts by month, term, and academic year.
- Payment deadlines and applicable discount programs.
- Payment account information.
Automatically send tuition notification emails directly from the system to parents.

6. Multi-channel tuition collection – Debt tracking – Automated accounting
Support multiple payment methods:
- Cash
- Bank transfer
- Online payment gateway integrated with banks, allowing parents to pay through QR codes, installment payments, or Visa card transactions.
When collecting payments, the software automatically calculates the outstanding balance per fee and collection period (month, term, year), including:
- Surplus or deficit carried forward from previous periods
- Current period balance
- Applicable exemptions
- Early payment discounts (if eligible)
- Amount due and actual amount received from parents
Automatically generate accounting entries upon payment collection. Automatically link with the bank to create tuition receipt vouchers when parents make online payments.
Track student tuition balances clearly and in detail for each fee category.
7. Tuition reconciliation, revenue recognition, and discount accounting
At the end of each period, the software automatically reconciles tuition by fee type based on registration and actual usage (e.g., meals, transportation, other services).
Automatically record revenue, accounts receivable, exemptions, and discounts in the general ledger and financial reports.
Automatically send reconciliation notifications to parents via email—enhancing transparency and professionalism.
8. Tuition invoice issuance
- Based on tuition payment and reconciliation data, the system automatically prepares information for invoice issuance.
